Somebody searching for a cleaner is not browsing. They have decided already. They want a number and a start date, and whoever gives them one first usually gets the job. That makes the enquiry form the most important thing you own online, and it is almost always the weakest.

Here is the standard version. Name, email, phone, and a box labelled Message. Somebody types "looking for a quote on my house" and hits send. Now you cannot price anything. You email back asking how many bedrooms. They reply two days later. You email back asking about bathrooms and pets and whether they want weekly or every other week. By the time you can quote, they have booked somebody who asked all of that on the first screen.

Every enquiry that takes three emails to price is an enquiry you are half likely to lose, and you lose it for a reason that has nothing to do with your cleaning. Fix the form and you change the shape of the business.

What the form should ask before it lets them send

Do not put twenty fields on the page. Seven or eight well-chosen ones get you to a number. Past that, people abandon, and an abandoned form is worse than a vague one.

Where those enquiries actually go

A form is only as good as the message it sends. Cleaning company enquiries go missing more often than most, and it is usually one of three causes.

  • The form sends from a free address at a different provider, so mail systems distrust it and file it as spam. Send from an address at your own domain and the delivery gets better immediately. That is covered on the business email page.
  • It goes to one inbox that one person checks. If that person is on a job all day, the enquiry sits until evening. Send it to two people.
  • There is no copy anywhere else. If the email vanishes, so does the lead. A form that also writes each enquiry to a list on your own site means nothing is ever lost to a mail problem.

That third point is the one worth spending an afternoon on. Every enquiry stored somewhere you can look at later also gives you a record of what people ask for, which towns they come from, and how many were recurring rather than one-off. That is the closest thing to free market research you will get.

Recurring and one-off are different products

Most cleaning websites price like a shop with one shelf. A single rate, one call to action, no distinction between the customer who wants a deep clean before their in-laws visit and the customer who wants somebody every other Thursday for the next four years.

Those are not the same sale and they should not look the same on the page. The second one is worth many times the first, and it is the one your business runs on.

How to present it

  • Lead with the recurring option. Make it the visually obvious choice, and show the one-off as the alternative rather than the default.
  • Say plainly that recurring is cheaper per visit. People assume a commitment costs more, because in most industries it does.
  • Be honest that the first clean costs more than the ones after it. Everybody in this trade knows why. Customers do not, and they feel ambushed when it arrives on the invoice.
  • State the cancellation terms in a sentence a person can read. A subscription with hidden exit terms generates the worst reviews you will ever get.
  • If you have a minimum, publish it. You will lose enquiries you were never going to convert, which is a saving.

None of this needs software. It is words on a page, arranged so the offer people should take is the one they see first.

Commercial and residential are two businesses on one website

Plenty of cleaning companies do both, and the site usually treats them as one thing with a shared phone number. The buyers have nothing in common.

A homeowner is deciding this afternoon, from a phone, mostly on trust and price. An office manager is comparing three vendors, needs proof of insurance before the conversation goes anywhere, and may have to run it past somebody else. Copy that reassures one bores the other.

So give them separate paths from the homepage, and separate pages once they are on one. The residential page can talk about what a visit includes and what it costs. The commercial page should talk about scope, night and weekend access, keys and alarm codes, supervision, and how a complaint gets handled. Different questions, different page.

The proof a commercial buyer will ask for

Bonded, licensed and insured is on nearly every cleaning site in the country, which is exactly why it has stopped meaning anything. If you actually carry the coverage, say what it is in specific terms and be ready to produce a certificate quickly when asked. Commercial clients do verify, and some of them will want to be named as an additional insured before they sign.

Two practical notes. Do not publish the certificate itself as a public download, because it carries policy numbers you have no reason to put in front of the world. And do not describe your coverage in words your agent has not seen. Requirements vary by client and by state, so check the specifics with your own insurance adviser rather than copying language off a competitor's site.

The same caution applies to background checks. If you run them on your crew, say so plainly, because it matters to both audiences. Do not publish anything about an individual employee's check results.

Online booking, and when it is not worth it

Instant online booking is sold hard to this industry. For some cleaning companies it is genuinely transformative. For others it creates work and takes money off the table.

The test is simple. Can you price a job accurately from a handful of answers, without seeing it? If yes, booking works. If your quotes depend on walking through the property, an instant price is a promise you will have to break, and breaking it on arrival is a bad first minute with a new customer.

  1. Start with the form, not the booking system

    Get the quotable form working first and watch what comes through for a month or two. If nearly every enquiry can be priced from what people typed, you have proved booking will work before paying for it.

  2. Check what it does to your schedule

    A booking tool that lets anybody take any slot will scatter your crew across the county. The useful ones let you sell only the days you already run each town, which is what protects your route density.

  3. Decide what it is allowed to charge

    Taking a card at booking cuts no-shows and it also commits you to a price sight unseen. Many companies land on a deposit rather than the full amount, which is a reasonable middle.

  4. Keep the payment off your own server

    Card details should go to a payment processor, not through your hosting. That keeps the compliance burden with the people who do it for a living, and it means a problem on your website is never a problem with somebody's card.

  5. Leave the phone number visible

    A large share of your best customers, especially commercial ones, will never use the booking form. Do not hide the phone number to push people into it.

As for hosting, a booking tool changes very little. Most of them run on the provider's servers and sit on your page as an embed. What they do cost you is speed, because each one loads its own scripts before the page is usable. One is fine. Three, plus a chat widget and a review badge, is why the site feels slow.

Who should stay on the smallest web hosting for cleaning companies

If you clean offices under multi-year contracts won by tender, most of this page is not about your business. A consumer-facing booking flow will do nothing for you. Nobody awards a janitorial contract off a website form.

Your website in that case has one job, and it is a narrow one. When a facilities manager or a procurement officer looks you up after your bid lands on their desk, the site has to look like a real company that has been doing this for years. Named leadership, the buildings and sectors you cover, the certifications you hold, a clean contact page, and no dead links. That is a small, static site, and an entry shared plan hosts it without breathing hard.

  • You do not need a bigger plan. A ten-page site with no logins and no traffic spikes is one of the lightest things you can put on a server.
  • You do not need instant online booking. You will never use it.
  • You do not need a chat widget on a page that gets a few visitors a week.
  • You probably do need a proper business email setup, because your entire sales process is bids and follow-ups by email.
  • You do need the site to be current. A copyright date from three years ago tells a procurement officer exactly what they wanted to know.

For residential that usually means bedrooms and bathrooms or square footage, how often they want it, whether this is a first clean or ongoing, pets, town or ZIP, and a start date. Seven or eight fields is the sweet spot. Fewer and you cannot quote, more and people abandon halfway through.

Should I put my prices on the website?

Publish a starting price and your minimum, even if the real number depends on the property. People who will not pay your minimum leave without wasting your time, and people who will are reassured that you are not going to invent a number based on the car in their driveway. If you truly cannot price without seeing the job, say that plainly and give a range.
